Cohort Keeper is a product of Automation Millionaire, a DBA of Novel Bookings LLC ("we", "us"). This policy covers cohortkeeper.com, our member FAQ assistant pages and our services.
What we collect
- Teardown requests: your email and community link.
- Checkout: your name, email, billing details and community link. Stripe processes your payment, and we never see your full card number.
- Intake: your answers to the intake form, such as course links, member questions, your email tool and your call schedule. The form saves a draft in your own browser until you submit it.
- Email: messages you send to [email protected].
- Public Skool pages: for teardowns, we read your community's public About page, including its price, member count, membership questions and public reviews.
- FAQ assistant questions: the text of each question and whether it was answered, with a timestamp. The assistant doesn't ask for names or emails, and we don't store them.
Your members' information
When we install for you, member details such as name, email and membership answers move from Skool to your email tool through your own Zapier account. We access them only to build, test and support your setup, acting on your behalf. We don't copy your member list into our own systems, and we don't contact your members for our own purposes.
How we use it
- To write and send teardowns and to deliver the services you buy
- To send service emails, such as your intake link, reminders, report notices and replies
- To build your reports and improve your FAQ assistant
- To keep records for billing, taxes and disputes
We don't sell personal information. We don't share it for advertising. The site has no ad trackers or analytics cookies.
Who we share it with
We share information only with the services that run Cohort Keeper:
- Stripe: payments and the billing page
- Cloudflare: website hosting, email, data storage, and the AI model that drafts teardowns and answers assistant questions
- Fontshare: the site's fonts. Your browser loads them directly, so Fontshare sees your IP address.
- Your own tools: Skool, Zapier and your email tool, when you connect them for an install
We may also share information if the law requires it.
How long we keep it
- Teardown requests: up to 6 months
- FAQ assistant question logs: about 13 months
- Email reply records: 12 months
- Order and billing records: as long as tax and accounting rules require
Your choices
You can ask us to show, correct or delete the information we hold about you. Email [email protected] from the address in question. We'll reply within 30 days. Some records, such as payment records, may need to be kept for legal reasons. California residents have these rights under state law, and we won't treat you differently for using them.
Security
Data is sent over HTTPS and stored with Cloudflare and Stripe. Access is limited to what's needed to run the service. No system is perfectly secure. If a breach affects your information, we'll tell you.
Children
Our services are for business owners and aren't directed to children under 16.
Changes
If we change this policy, we'll update the date at the top. For significant changes, we'll also email active clients.
